We are seeking a highly organized and detail-oriented Safety manager to maintain the company's safety, compliance, driver recruiting, onboarding, and training programs. The Safety manager plays a critical role in maintaining FMCSA and DOT compliance by keeping up with driver qualification files, permit management, safety documentation, training records, and administrative support for our fleet.
The ideal candidate must have excellent communication skills, strong computer proficiency, and the ability to work efficiently in a fast-paced transportation environment.
Essential Duties and Responsibilities
Driver Recruiting & Hiring
• Recruit qualified CDL drivers through various hiring platforms and referrals.
• Conduct initial driver screenings and qualification reviews.
• Schedule and coordinate driver interviews and orientation sessions.
• Verify employment history, CDL status, MVRs, PSP reports, and required hiring documents.
• Maintain applicant tracking and recruitment records.
Driver Onboarding & Compliance
• Prepare and maintain Driver Qualification Files (DQFs).
• Collect, scan, organize, and upload driver documents into company systems.
• Ensure all required onboarding documents are completed accurately and timely.
• Add new drivers to company software platforms and compliance systems.
• Create driver accounts, usernames, and passwords for ELD and logbook systems.
• Add drivers to digital permit books and maintain accurate permit records.
• Coordinate drug and alcohol testing requirements during the hiring process.
Driver Training & Follow-Up
• Conduct new driver orientation and safety training.
• Train drivers on company policies, FMCSA regulations, Hours of Service requirements, ELD usage, vehicle inspections, accident reporting procedures, and safety expectations.
• Monitor completion of training programs and maintain training records.
• Schedule and conduct follow-up training sessions for existing drivers.
• Assist with monthly safety meetings and ongoing driver coaching.
• Track driver performance and identify areas requiring additional training.
Safety & Compliance Administration
• Scan, upload, and maintain safety-related documents and records.
• Monitor expiration dates for driver licenses, medical certificates, permits, and compliance documents.
• Assist in maintaining FMCSA, DOT, and company compliance records.
• Support preparation for audits, inspections, and compliance reviews.
• Track roadside inspections, violations, and corrective actions.
Permit & IFTA Support
• Assist the Safety Consultant with permit applications and renewals.
• Prepare documentation for IFTA reporting and quarterly filings.
• Maintain records for IRP, IFTA, UCR, and other state and federal permits.
• Organize mileage and fuel documentation required for compliance reporting.
• Assist with gathering information for insurance renewals and regulatory filings.
Administrative Support
• Maintain electronic and physical filing systems.
• Generate reports and spreadsheets related to safety and compliance activities.
• Communicate with drivers regarding missing documents and compliance requirements.
• Assist management with special projects related to safety and fleet operations.
Qualifications
• High school diploma or equivalent required.
• Previous experience in trucking safety, transportation compliance, driver recruiting, or fleet administration preferred.
• Knowledge of FMCSA regulations, DOT compliance, and Hours of Service preferred.
• Experience with ELD systems and transportation software is a plus.
• Strong organizational and document management skills.
• Excellent verbal and written communication skills.
• Proficient in Microsoft Office, Google Workspace, and PDF/document management systems.
• Ability to handle confidential information professionally.
